Terms of Service

Bookd is an appointment booking platform operated by Eidetic Ltd, a company registered in the Republic of Rwanda with its principal place of business in Kigali. In these terms, "Eidetic", "we", "us" and "our" mean Eidetic Ltd, and "Bookd" means the platform at bookd.rw and its related services. Eidetic Ltd may operate other products; these terms cover Bookd only.

Bookd lets service businesses (spas, salons, barbershops, clinics and similar) publish a booking page and accept appointments, and lets clients discover those businesses and book with them. We provide the software. The businesses provide the services you book.

• Business means an organisation or sole trader that registers on Bookd to accept bookings.
• Client means a person who books an appointment with a Business through Bookd.
• Client Data means personal data about a Business's clients that the Business collects or manages through Bookd.
• Subscription means a Business's paid plan, including any free trial that precedes it.

You must be at least 18 years old to hold a Bookd account. A Client under 18 may be booked in by a parent or guardian, who is responsible for that booking.

• Clients may book as a guest or create an account. A Business must register an account to publish a booking page.
• You are responsible for the accuracy of the information you provide and for keeping your credentials secure.
• You are responsible for everything that happens under your account. Tell us promptly at security@bookd.rw if you believe it has been compromised.
• Business owners may invite team members. The owner remains responsible for what their team does in the dashboard.
• One person or organisation may not maintain multiple accounts to evade limits, suspensions, or trial restrictions.

When a Client books an appointment, the resulting arrangement is directly between the Client and the Business. Eidetic is not a party to it. The Business alone sets its services, prices, availability, staff, deposit requirements, and cancellation policy, and is solely responsible for delivering the service.

• Clients can cancel or reschedule within the window each Business defines. Outside that window, contact the Business directly.
• Businesses must honour confirmed bookings or notify the Client promptly if they cannot.
• Payment for the service itself is settled between Client and Business unless the Business has enabled online payment through Bookd.
• We are not responsible for the quality, safety, legality, or outcome of any service booked, nor for any dispute between a Client and a Business.

• Bookd is offered to Businesses on a subscription basis. Current pricing is shown at sign-up and in the dashboard under Billing, and starts from 10,000 RWF per month.
• New Businesses may be offered a 14-day free trial. Trials are one per Business and may require review and approval before activation.
• Fees are billed in advance for each billing cycle, in Rwandan Francs unless stated otherwise, and are exclusive of any taxes or mobile-money charges that apply to you.
• Payments are processed by third-party providers (including mobile money operators). We do not store your full payment credentials.
• Fees are non-refundable except where required by law. Cancelling stops future charges; it does not refund the current period.
• If a payment fails, we may retry it and, after a short grace period and notice, suspend your dashboard until the balance is settled. Your data is retained during suspension.
• You may cancel at any time from Billing. Your Subscription stays active until the end of the paid period, then lapses.
• We may change pricing with at least 30 days' notice before it applies to your next renewal. Continuing after that date accepts the new price.

You must not:

• Use Bookd for unlawful, fraudulent, deceptive, or harmful purposes, or to offer services you are not licensed to provide.
• Make bookings you do not intend to honour, or abuse the booking, waitlist, review, promo code, or loyalty features.
• Post content that is false, defamatory, obscene, hateful, or infringes someone else's rights.
• Attempt to access accounts, data, or systems that are not yours, or probe, scan, or test our security without written permission.
• Scrape, crawl, bulk-export, or resell platform data, or use Bookd to build a competing product.
• Disrupt or overload the platform, circumvent rate limits, or reverse-engineer any part of it except where that right cannot lawfully be excluded.
• Send unsolicited marketing to Clients you met through Bookd, in breach of applicable law or their preferences.

If you operate a Business on Bookd, you agree that you:

• Are duly registered and licensed to provide the services you list, and will comply with all laws that apply to them, including health, safety, and consumer-protection rules.
• Will keep your listing, prices, hours, and availability accurate and current.
• Are the controller of your Client Data and will handle it lawfully, including obtaining any consent required for the reminders and marketing you send.
• Will honour the cancellation, refund, and no-show policies you publish.
• Are responsible for charging, collecting, and remitting any taxes that apply to your services.
• Will not use client contact details obtained through Bookd for anything other than serving those clients.

Where Eidetic processes Client Data on your behalf, it does so as your processor and only to operate Bookd, as described in our Privacy Policy.

Clients may leave a review after a completed appointment. Reviews must be honest and based on a genuine visit. Businesses may respond publicly but must not offer incentives for positive reviews, publish a Client's private information, or retaliate against a Client for honest feedback.

You keep ownership of the content you submit (text, photos, logos, and listing information). You grant Eidetic Ltd a worldwide, non-exclusive, royalty-free licence to host, store, reproduce, adapt for display, and publish that content for the purpose of operating and promoting Bookd. This licence ends when you delete the content, except for copies retained in backups or where we must keep it by law.

We may remove or refuse content that is unlawful, abusive, misleading, or in breach of these terms. We do not routinely pre-screen content and are not obliged to.

Bookd, its software, design, and the Bookd name and marks are owned by Eidetic Ltd and protected by intellectual property law. We grant you a limited, revocable, non-transferable right to use Bookd as intended while your account is in good standing. Nothing in these terms transfers ownership of anything to you. Feedback you send us may be used freely and without obligation.

We aim to keep Bookd available at all times, but we do not commit to a specific uptime level on standard plans. We may perform maintenance, change or discontinue features, and impose reasonable limits. Where a change materially reduces core functionality you rely on, we will give reasonable advance notice. Support is offered by email at support@bookd.rw during business hours in Kigali.

Bookd relies on third parties for hosting, email, SMS, maps, image delivery, payments, and error monitoring, and may link to sites we do not control. Their terms and privacy practices govern their services. We are not responsible for third-party outages or for content on sites we link to.

You may stop using Bookd and close your account at any time. We may suspend or terminate an account that breaches these terms, is used unlawfully, poses a risk to other users or to the platform, or has an unpaid balance. Where practical we will give notice and a chance to fix the problem first; we may act immediately in cases of fraud, legal risk, or harm to others.

After termination we retain your data for a limited period so you can export it or reactivate, then delete or anonymise it as described in the Privacy Policy. Sections that by their nature should survive (fees owed, content licence, disclaimers, liability, governing law) survive termination.

Except as expressly stated and to the fullest extent permitted by law, Bookd is provided "as is" and "as available", and Eidetic Ltd disclaims all implied warranties, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that Bookd will be uninterrupted, error-free, or secure against every threat, or that any Business listed on the platform is suitable for you.

To the fullest extent permitted by law, Eidetic Ltd is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost revenue, lost bookings, lost data, or loss of goodwill, however caused.

Our total aggregate liability arising out of or relating to Bookd in any 12-month period is limited to the greater of (a) the subscription fees you paid to us in the 12 months before the event giving rise to the claim, or (b) 50,000 RWF. Nothing in these terms excludes liability for fraud, wilful misconduct, death or personal injury caused by negligence, or any liability that cannot lawfully be excluded.

If you use Bookd as a Business, you agree to indemnify and hold Eidetic Ltd harmless from claims, losses, and reasonable costs arising from the services you deliver, your listing content, your handling of Client Data, your breach of these terms, or your breach of applicable law.

We may update these terms. For material changes we will update the date and version above and give notice by email or in the dashboard at least 14 days before they take effect, unless a change is required sooner by law. Continuing to use Bookd after the effective date means you accept the updated terms. If you do not accept them, stop using Bookd and cancel your Subscription.

These terms are governed by the laws of the Republic of Rwanda. Before starting formal proceedings, please contact us at legal@bookd.rw so we can try to resolve the matter informally within 30 days. If that fails, the courts of Rwanda have exclusive jurisdiction.

• These terms, together with the Privacy Policy, are the entire agreement between you and Eidetic Ltd regarding Bookd.
• If a provision is found unenforceable, the rest remains in force and the provision is applied as closely as possible to its intent.
• Our failure to enforce a provision is not a waiver of it.
• You may not assign your rights under these terms without our consent. We may assign them to an affiliate or in connection with a merger, acquisition, or sale of assets.
• Neither party is liable for failure to perform due to events beyond its reasonable control, including outages of networks, power, or payment infrastructure.
• Notices to you are sent to the email on your account or shown in the dashboard. Notices to us go to legal@bookd.rw.
